The technical and operational choices we make are shaped by one principle: your data is yours, and protecting it is our job.

Client data isolation

Every client dossier in Wenite is a completely separate, isolated environment. Data from one client cannot bleed into another. You will never see survey responses, dossier notes, or project insights from a different client appearing in the wrong place — and neither will any other consultant on the platform. This isolation is enforced at the data layer, not just the interface layer. Even if something unexpected happens in the application, the boundaries between client dossiers hold. When you are managing a portfolio of active clients, you can be confident that each organisation’s data exists in its own protected space.

Access controls

Only you — and the people you explicitly invite — can access the data in your account. Wenite does not grant any third party access to your account without your instruction, except where legally required. If you work with associates, junior consultants, or administrative support, you control exactly what they can see and do. Permissions are scoped, so you can give someone access to a specific project without opening your entire client portfolio to them. You remain the account owner and the final authority over who holds access at any given time.

Data in transit and at rest

All data moving between your browser or device and Wenite’s servers is encrypted in transit using TLS. All data stored on Wenite’s infrastructure — your dossiers, survey responses, uploaded files, and account settings — is encrypted at rest. These are established industry standards and form the technical foundation of how we handle your information. You do not need to configure or manage encryption yourself. It is always on, for every piece of data, regardless of your subscription tier.

Backups and availability

Wenite manages data durability on your behalf. Your dossiers, scan results, and project history are backed up regularly, and we maintain the infrastructure to restore data in the event of a system-level failure. You do not need to run your own backups or export data periodically just to keep it safe. Our infrastructure is designed for high availability, so your work is accessible when your clients need it — during a presentation, a follow-up session, or an unexpected call.

Data retention and deletion

When you off-board a client, you can archive or delete their dossier from within the platform. Deletion is permanent — once you remove a dossier, it is purged from active storage and does not persist in backups beyond the standard retention window. If you close your Wenite account entirely, you can export your data before doing so. After account closure, your data is deleted from our systems in accordance with our retention policy. We will not hold onto your client data after you’ve left the platform — it is yours, and when you’re done, it goes with you or it goes away. If you have specific retention requirements tied to client contracts or regulatory obligations, configure your dossier archiving accordingly and document your own data lifecycle policy as the data controller.
Be thoughtful about what you share through the client portal. Once you grant a client access to part of their dossier, they can view everything within that shared scope. Review what you’ve enabled before inviting a client to the portal, and update permissions promptly if the scope of sharing needs to change.
If you work with team members, associates, or contractors who have access to your Wenite account, review their permissions periodically — especially when an engagement ends or a working relationship changes. Removing access you no longer need is one of the simplest and most effective security steps you can take.
