Core concepts
Client Dossier
The client dossier is the living record for each client organisation you work with. Every survey you send, every report you generate, every follow-up you log, and every piece of history from your engagement lives inside the dossier for that client. It never goes stale: as you add new data rounds or update your notes, the dossier grows alongside the relationship. Think of the dossier as the single source of truth for a client engagement — the place you go first when a client asks a question, and the place you return to when you pick up an engagement after a pause.Cockpit
The Cockpit is your portfolio overview. It sits above all individual client dossiers and gives you a consolidated view of every active engagement in your practice. From the Cockpit you can see which clients have open actions, which data collections are in progress, and where reports are due. The Cockpit is designed to scale with your practice. Whether you are managing three clients or thirty, you always have one place to orient yourself before diving into the details of any single engagement.Scan / Instrument
A scan (also called an instrument) is a questionnaire or survey used to collect structured data from employees at a client organisation. Scans are the primary data-collection tool in Wenite. You can import instruments you already use in your practice — no need to rebuild what already works — or create new ones using Wenite’s built-in instrument builder. Once a scan is in Wenite, you can reuse it across multiple clients and multiple data rounds, and results accumulate in a format that feeds directly into your dashboards and reports.Trajectory
A trajectory is a client engagement from start to finish. It encompasses the full arc of your work with a client organisation: the initial discovery, the data collection rounds, the reporting, the follow-up sessions, and any ongoing advisory work. Wenite organises your work inside the client dossier around trajectories, so you always have a clear picture of where an engagement stands and what has happened at every stage.Benchmark
A benchmark is aggregated data drawn from across your practice. Every time you run a scan, the anonymised results contribute to your benchmark pool. Over time, this gives you a growing evidence base that you can use to contextualise results for any individual client — showing them how their organisation compares to the broader landscape you observe in your practice. Benchmarks compound in value the longer you use Wenite. The more data rounds you run, the richer and more credible your benchmarks become.Client Portal
The client portal is a selective, client-facing view of the dossier. You control exactly what each client contact can see — individual report sections, dashboards, or summary documents — without giving them access to your full workbench or to data belonging to other clients. The portal is how Wenite turns your internal work into a professional, substantiated client deliverable. How Wenite fits into your workflow
A typical trajectory in Wenite follows a clear progression from first contact through ongoing follow-up.Create the client and open the dossier
When you win a new engagement, add the client organisation in Wenite. A dossier is created automatically. Log your initial notes, set up the trajectory, and use it as the working space for everything that follows.
Design or import your instruments
Choose the scans you want to use for this engagement. Import an instrument from your existing toolkit or build a new one inside Wenite. Configure it for this client’s context — language, scale, question set — and save it to the dossier.
Launch a data collection round
Send the scan to the relevant employees at the client organisation. Wenite manages invitations and reminders. Monitor response rates in real time and close the round when you have sufficient data.
Analyse results and build reports
Open the smart dashboards to explore the aggregated results. Add your own analysis, recommendations, and narrative. Generate a report directly from the dossier, ready to share with your client.
Share with the client via the portal
Decide which parts of the dossier to share and publish them to the client portal. Your client contact gets a clean, professional view of the results and your recommendations — nothing more, nothing less.
Data model
Each client organisation you add in Wenite gets its own fully isolated workspace — the dossier. Data collected for one client is never mixed with or visible to another. Your instruments, templates, and benchmarks live at the practice level (your account), while client-specific results and history live inside each individual dossier. This separation means you can confidently work with multiple client organisations — including potential competitors — without any risk of data leakage between them. You decide what moves between the practice level and the client level, and you decide what each client contact can see through the portal.Wenite is fully GDPR compliant. All data is processed and stored within the European Union. Wenite is based in Ghent, Belgium, and ISO 27001 certification is in progress, targeted for Q3 2026. If your clients require data processing agreements or have specific compliance questions, contact the Wenite team via wenite.io/contact.
