1. Navigating to the share page
Once a survey has the status Active, you can invite respondents through the Share option. Navigate to Surveys in the left-hand navigation panel, click the action menu (···) to the right of the survey, and choose Share. The share page is divided into three tabs: General, Contacts, and Campaigns. The Share option is only available once the survey has the status Active. Activate the survey first via the action menu before you start distributing it.
2. Survey link
On the General tab, under Survey link, you’ll find the fixed URL for your survey. This link is generic for all respondents — anyone who receives it can complete the survey without individual registration or tracking. Use the copy button to add the link to your clipboard, ready to paste into an email, newsletter, or intranet.QR code
Alongside the link, you can also download a QR code that points to the survey, as an image. This is handy when you want to distribute the survey via posters, printed flyers, or a presentation.3. Prefilled questions
Using the Prefilled questions section on the General tab, you can already fill in certain background questions for all respondents. The link is automatically adjusted so those questions are no longer asked of the respondent — they’re skipped. Select a background question and choose the desired answer option. You can prefill multiple questions at once; each combination generates a separate link.A link with prefilled questions is still anonymous. The link doesn’t contain any personally identifiable information — only the preset values.
4. Contacts and unique links
When you want to track individual respondents, use the Contacts tab. A unique link is generated per contact, tied to that specific person. This enables three things:- Individual status tracking
- Automatic prefilling of contact attributes when the link is opened
- Targeted reminder campaigns to new or incomplete respondents
Contact statuses
You can manually copy a contact’s unique link via the action menu (to the right of the contact row) → Copy link. Useful when a contact has lost their invitation email, or when you want to send the link through a channel other than email.
5. Adding contacts
There are three ways to add contacts to a survey.Manually
Use the Add contacts button to open a side panel. Enter the email address (required), followed by name, language, and the desired socio-demographic attributes.Bulk import via CSV
For larger groups, download the sample file via the import button. The file contains the columnsemail, name, language, and any socio-demographic fields after that (e.g. location). Fill it in with your contacts and upload the file.
If, after import, there are attributes that couldn’t be automatically matched to an existing answer option, the attribute mapping screen appears, where you match the values manually.
Syncing company contacts
If the company has active users in Wenite, you can pull them in as contacts via Sync company contacts. Filter on socio-demographic criteria to select a specific subgroup. Unlike a one-time import, this keeps syncing automatically — an update runs every time a mailing is sent out. Users synced this way are automatically logged in with their existing Wenite account when they open their unique link.6. Creating campaigns
A campaign is a branded email you send to (a portion of) your contacts, containing their personal survey link. You manage campaigns via the Campaigns tab.Composing the email
Click Create campaign to open the configuration form. Set the name (internal), subject, target language, email content, and button text. A header image is optional.Target audience
Besides language, you narrow the target audience via the scope field:
The platform shows the expected number of recipients based on the selected language and scope, before you send.
7. Testing and sending the email
- Send test email — check how the email looks for the recipient.
- Send now — the campaign is sent out immediately.
- Schedule — set a later time. A scheduled campaign can be edited or cancelled as long as it hasn’t been sent yet.
8. Recommended workflow for distribution
Generic link or unique links?
Recommended campaign flow
- Add contacts via import or user linking, and check the attribute mapping.
- Create a campaign with scope New contacts only and send a test email first to check it.
- Send the invitation campaign (now or scheduled).
- Track the response rate via contact statuses on the Contacts tab.
- After a few days, send a reminder campaign with scope Incomplete contacts.
